Administrative Assistant - New Rochelle, NY

 

Basic Function

Provide administrative support to the Office Manager for CEO tasks. The Administrative Assistant will perform functions such as preparing proposals, reports and correspondence, speaking to clients, handling time-sensitive information requests and scheduling appointments. The ideal candidate is an experienced administrative professional that is extremely organized, and able to move swiftly from assignment to assignment. The candidate must have strong writing and grammar skills in order to create and prepare proposals for clients. We are seeking a hard worker who understands the importance of getting the job done, who is comfortable interacting with senior staff, and speaking to clients with a high-level of professionalism.

 

Responsibilities

  • Provide administrative support to the Office Manager and CEO.
  • Prepare large, intricate proposals and reports in Microsoft Word.
  • Handle clerical functions including information requests, e-mail and other correspondence.
  • Schedule appointments and meetings.
  • Keep organized lists of daily tasks that need to be completed by the end of the day.
  • Coordinate work to be scheduled for clients.
  • Speak to clients over the phone to confirm appointments, follow-up after completion of service, answer any questions and address any issues.

 

Skills/Abilities

  • Must possess strong written and verbal communication skills including proposal writing skills.
  • Advanced proficiency in Microsoft Word.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • The ability to multi-task and handle heavy calendar entries.
  • Time management and organizational skills required.
  • Strong customer service skills is a must.
  • High level of professionalism and phone etiquette.

 

Education/Training

  • Two to four year degree in Business, Business Management, English, Communications, Literature, Journalism, or related field.

 

Experience

  • Five years’ prior administrative experience.
  • Prior experience creating proposals, reports and/or presentations highly preferred.
  • Strong Microsoft Word skills mandatory; General Excel skills required.

 

*This is a full-time salaried position. The candidate must be willing to work some additional hours when the workload is heavy. The regular schedule will be Monday through Friday, 8:00am to 5:00pm.
