Customer Account & Billing Coordinator - New Rochelle, NY


Basic Function

This position will compile, compute and record billing, accounting, statistical, and other numerical data for billing purposes. Other responsibilities include preparing billing invoices for services rendered, computing costs, calculating rates for services, posting data, collections, account reconciliation, and keeping relevant records. Participate in special projects as needed.


Responsibilities include:

  • This position requires both written and mathematical accuracy, accountability, effective business skills and superior judgment. One must have the ability to communicate effectively, both verbally and in writing with clients and internal personnel to ensure prompt resolution of issues and achieve maximum efficiency of operations.
  • Administer AR and job cost ledgers for all projects  and clients while ensuring vendors meet all contractual requirements.
  • Create customized daily, weekly and monthly account reports to meet the specific needs of the business.
  • Create customized invoices based on purchase orders, accepted work, and estimates.
  • Ensure compliance with prevailing wage rates in all states, counties and towns that organization does business in.
  • Process payroll through internal worksheets.
  • Preparation of all itemized statements, bills, or invoices and record amounts due for services rendered.
  • Verify accuracy of billing data and revise any errors; resolve discrepancies in accounting records.
  • Create deposit slips and reconcile accounts on a daily basis.
  • Perform bookkeeping work, including posting data or keeping other records concerning costs of services.
  • Work closely with Sales Arborists in regards to collections of past due accounts.
  • Process credit card information.
  • Engage in daily account reconciliation.
  • Other duties as assigned.



  • 5+ years’ experience in a comparable role in accounting for a Landscaping/Construction Management/General Contracting company.
  • BA/BS in Accounting or Finance.
  • Strong accounts receivable, payroll, and billing knowledge.
  • Requires ability to plan, organize, and prioritize multiple tasks within a defined time period.
  • Must have the ability to produce and track documents and activity on multiple projects.
  • Proficient with MS Office - Word, Excel and Outlook.
  • Accuracy and attention to detail a must.
  • Ability to work in a fast paced environment.
  • Ability to learn proprietary software.



  • BA/BS in Accounting or Finance.
  • 5+ years of related work experience.



  • Salary range: $55K to $65K per year with benefits package.
