Collections Coordinator - New Rochelle, NY

 

Basic Function

The collections coordinator will have a variety of responsibilities within our New Rochelle, NY office. Some typical responsibilities include reviewing information found in records and databases, collecting billing accounts, ensuring accuracy within records and databases, communicating information found to the relevant and necessary party, collecting information regarding activities, finding information relevant to the industry, delegating particular tasks to staff members, working out terms of payment with a customer, ensuring proper collection of funds, ensuring that collections operations run seamlessly, identifying customers, communicating with customers via telephone, email or mail , traveling to local municipalities and submitting accounts to small claims court, submitting accounts to collection agencies, and reporting all information to their supervisors of the 3,000+ active accounts. This person must be highly organized and detail-oriented. They must also be adept at multitasking as they will generally be responsible for multiple cases at one time. Expert communication skills are a must, as a collections coordinator will spend a great deal of time communicating with clients.

 

Responsibilities include:

  • Sending out monthly aging statement, collection letters to customers.
  • Placing direct phone calls and E-mails to customers that are past due.
  • Works closely with the Office Manager (OM) and CEO to implement processes and policies that contribute to accurate invoicing.
  • Sending final demand letters and notifying sales and admins of financial holds on customer accounts to stop service for non-payment.
  • Turning accounts over to an outside Collections Agency after 60 days of collection efforts, service having already been stopped and the amount due is greater than $500.
  • Turning accounts over to local small claims court.
  •  Relays to the OM any and all accounts that need to be written off to bad debt.
  • Create spreadsheets of accounts and their financial status.
  • Maintains Bankruptcy files on customers within the assigned Company Numbers.
  • Prepares documentation necessary to create the Credit or Debit Memo necessary to true up a customer account.
  • Oversees and assists with the cleanup of unapplied receipts, short paid invoices and Charge Backs.
  • Addressing ongoing customer complaints concerning billing or service rendered and works on complaints of service failures with designated departments.
  • Posting customer payments and submitting daily cash receipts to CEO.
  • Assisting with organizing the data on commercial budget accounts and update as payments come in.

 

Skills/Requirements

  • High School diploma (or GED) and a college degree is required.
  • This position requires the incumbent to have at least 5 years of experience in collecting, accounts receivable or a related area.
  • This position requires good written, oral and reading communication skills in order for the incumbent to accurately obtain, interpret and transcribe a variety of communications and instructions.
  • Proficiency with Microsoft Office for Windows (Outlook, Word, and Excel) is required.
  • This position requires excellent interpersonal skills and the ability to adjust and interact with all levels of personnel.
  • Incumbent must be multi-task oriented, organized, set priorities and meet deadlines and take pride in one’s work.
  • Has supervisory responsibilities on special projects concerning Collections.

 

Compensation

  • $45,000 annual compensation.
